The first version is a short list, plus what stays manual
The first version is eight objects on one path. A customer data platform, a new ads program, or a replacement suite means the job is no longer lightweight.
- One CRM as the record, with lifecycle stages in your words.
- One definition of a qualified lead, written with the person who sells.
- One capture point. On links you control, set source, medium, and campaign. Google’s URL builder guide says to always set those three, and that values are case sensitive. One capital letter splits a campaign into two rows in the Traffic acquisition report.
- One follow-up. Anything a prospect can read waits for a person, unless the consent test below is already met.

A commercial email or other electronic message still needs prior consent, or the existing-customer exception for a product or service related to an earlier purchase, a recognizable sender, and an unsubscribe in every message. Connect platforms by the field, not by the logo
The person who should connect marketing platforms is the one who can show a field map and a failed-step test. Use the connection the CRM already ships, and a workflow tool only for the field that native connection cannot carry.

Sort the tools the way Orqava does: Zapier for a linear task, Make when the path branches, n8n when you host it. Write the brief so the build cannot swell
Send one page: the path in one sentence, the tools you already use, what stays manual, your accounts as the home, and the date the builder stops.
Ask two operators you already trust, or the CRM’s own partner list, for one person in the row you picked. Keep the one who can open a live workflow, including a failed step, in an account you can see. On a one-to-three-week build, the support window only repairs that path, then it ends. It is not a place to add a second object.

Do not sign when the path is still a guess
Do not hire a builder when you cannot define a qualified lead, when the workflow is only a notification you could send by hand, when nobody can approve a customer-facing message each week, or when the offer is too vague to route. Do not sign if the person who sells will not open the CRM.
Skip a twelve-week campaign system when there is no campaign operation, and a full-time operations manager when there is no team.
