How do I automate marketing reporting with AI?

Automate the refresh and the arithmetic in a report or sheet, then let a model draft what changed from those finished figures. Keep one written definition per metric, schedule delivery after data has had time to land, and have a person approve anything a client or founder will act on. Do not ask the model to invent totals.

The model writes the note. The report owns the total.

Name the decision before you name the chart

Automate a weekly report only when it can change one decision: stay, move effort, or investigate.

Keep five to eight metrics you can recompute by hand: sessions, the key event, leads or pipeline if you sell to businesses, and the paid result in its own column. From 13 May 2026, GA4 sets medium ai-assistant and campaign (ai-assistant) when the referrer matches Google’s list. The channel article examples are ChatGPT, Gemini, Deepseek, Copilot, and Grok. The release note also names Claude. AI Overviews and AI Mode stay in Organic Search. Mark 13 May 2026 on the scorecard so the new channel is not read as a traffic crash. Default groups cannot be edited. Add a custom group, or edit the primary channel group, only for a referrer still in Referral, such as an assistant the list does not recognize. A stripped referrer is Direct, and a channel rule cannot recover it. On a link you control, set the medium yourself. Use a repeatable marketing process for a small team.

One definition per word, written down

A form fill, a key event, and a closed deal are three metrics. Write the contract before any assistant sees a row:

  • Name, source field, and count date (click, session, or CRM create).
  • Time zone and window: last seven full days, last complete week, or month to date.
  • Attribution per tool, the naming rule, and which column wins when ads and the CRM disagree.
  • What missing looks like. A failed sync is not a zero.

A segmented Google Ads query omits a row whose selected metrics are all zero, so a gap can be a true zero. An unsegmented query can return zero for an ineligible or paused entity. Day, week, or hour rows older than 37 months are not returned. Month, quarter, and year stay for 11 years.

A standard aggregated report is not cut by event retention. Explorations and funnels are. Standard properties keep user-level data for 2 or 14 months. Large and XL properties are limited to 2 months, so do not automate a year-ago exploration there. Set 14 months before that window starts. Raising it later does not restore rows already deleted. On a daily, hourly, or weekly line chart, Ads metrics older than 36 months can show as zero. Tables and pie charts drop that older range instead of showing zero. The cause is the window, not a stopped campaign.

Google Ads traffic is classed from source platform, ad network type, and campaign type once Analytics has identified the click. Ad network type decides most of it. Campaign type decides Paid Shopping and traffic identified by GBRAID. Keep the gclid through every redirect. If a rewrite changes the case of the gclid, campaign, ad group, and keyword can show as (not set), while source is google and medium is cpc. Other traffic is classed from source and medium, so a missing tag can change the channel. Direct is source (direct) with medium (not set) or (none). Referral is medium referral, app, or link. Unassigned means no rule matched. (other) is a cardinality bucket, not the same failure. The CRM join is separate: connect the CRM and the email tools.

Open one pipe, matched to the sources you have

Pick the smallest pipe that already holds the contract. Every total and ratio belongs in a formula, a Data Studio field, or a query.

Google’s connector catalog lists Analytics, Ads, Search Console, YouTube Analytics, Campaign Manager 360, Display and Video 360, New Search Ads 360, Ad Manager 360, Sheets, Excel, CSV, and BigQuery. Meta, LinkedIn, HubSpot, and Salesforce are not on it. Looker Studio is the previous name of Data Studio.

How to reduce manual reporting work across the stack

Reduce manual reporting by retiring one repeated export someone actually opens, not by opening a warehouse.

Do the layers in order on one report: a scheduled refresh, then a question against that finished table, then a draft a person sends. Several accounts can share one definition and one template. Open a warehouse when you will query years of history, or when you must join a non-Google source under one naming rule. Retire the old file after two cycles match, as in turning experiments into workflows.

Schedule the file, then hold the sentence

Numbers leave on a clock. The sentence waits for someone who knows the account.

An administrator schedules up to 50 GA4 reports, PDF or CSV, daily through quarterly, to at most 50 addresses of people with property access. A Google Marketing Platform group may be one address. Analytics user groups may not. Realtime cannot be scheduled. A schedule lasts 1 to 12 months, then expires. Events can take 72 hours, so for a monthly send consider the 4th. Mail stops if the creator loses access, or if a custom dimension, metric, or channel grouping on the report is deleted. The list is in Admin, under Property, Scheduled emails.

Data Studio emails a PDF from Share, with a link back. You need owner, editor, or scheduling permission, and the creator stays a recipient. Without Pro: one schedule, at most daily. Pro: up to 200 schedules, hourly, plus Slack and Google Chat. Email caps at 50 addresses. The clock is the computer’s time zone and cannot be changed. Numbers and dates use US English, so day and month can swap. A PDF error means no mail. A report in Owned by me keeps the personal cap until that report is upgraded, and you cannot see what remains.

Viewer access only: no bids, no pauses, no page edits. Drop names, emails, and free text. Pass campaign, channel, and finished figures. Check where rows are processed, and whether that product trains on them. Not legal advice. See automating repetitive marketing work.

How AI summarizes performance every week

AI summarizes the week from one finished table, and only after a data-status line says which sources are in it.

  1. Exclude internal traffic, and confirm the key event fires once, not on both the page load and the submit.
  2. Match one hand-built week in the pipe.
  3. Put a data-status line on the extract: refresh time, sources present, sources missing, and the window. Do not send while a source is missing.
  4. For two cycles, diff a human note against the model note.
  5. Then schedule the file, not the sentence.

Hand the model this instruction: “Using only the attached table, write three lines: what changed, with the figure quoted; why it might matter, labeled as a hypothesis; what to check. If a source is missing, say unknown. Do not estimate a figure, a four-week average, or a budget move. Do not send.”

Reject the draft when a figure is not in the table, a missing source was written as zero, a cause is stated as fact, or the next step would change a live campaign. Cite last year only when that column is already in the extract. Do not send on Monday only because Sunday closed the week: events can take 72 hours. Can AI detect when a campaign needs attention?

AI can rank a movement you already calculated. It cannot watch every account, prove a cause, or change the campaign.

The Account Anomaly Detector is a script for one Google Ads account, not a built-in switch. It compares today with the same weekday over the weeks you set. Stats can lag 3 hours. It flags impressions, clicks, and conversions when too low, and cost when too high. It names no cause and changes no bid.

AI Spotlight is Search Ads 360 only. It flags drift on attribution, audience, conversion goal, device modifier, or language, and a cost change it can or cannot tie to an edit. It lists up to five budget-limited campaigns that beat target, and does not apply the move. It skips shared budgets and campaigns outside a Search Ads 360 bid strategy. Findings are kept for up to 60 days. The text may be wrong, and a test you chose can look like an anomaly.

Meta, email, and the CRM are outside both. Clicks with vanished conversions are a tracking check, not a bid change. A report ends at a draft. Changing a bid, a budget, or a live page is a separate workflow with its own approval and a way to undo it: reporting automation that changes campaigns.

Questions people ask

Can a chatbot replace the dashboard?

No. A chatbot can draft a note from a table you already trust. It should not be the place where totals are calculated, and a screenshot is not a source of record. Keep the refresh in GA4, Data Studio, Power BI, or a sheet. If a figure is not in that extract, the note has to say it is unknown.

Do I need a warehouse before I add AI?

Not for one brand and a weekly scorecard. Start with a scheduled GA4 email or one Data Studio report on the Google sources you already have. Several accounts can share that definition and that template. Add a warehouse when you will query years of history, or you must join non-Google ads with the CRM under one naming rule. A larger database does not make a vague metric honest.

Why is the start of the month missing days?

GA4 can take up to 72 hours to process an event. A mail set for the first of the month can omit the last three days of the previous month, which is why Google says to consider the 4th. Data Studio adds two traps of its own: scheduled files format numbers and dates in US English, and the send clock follows the computer's time zone, which you cannot change inside the product.

Should the same assistant change bids?

No. A report ends at a draft and a person who sends it. Changing bids, pausing a campaign, or editing a live page is a separate workflow with its own approval and a way to undo it. Give the reporting assistant viewer access only. Widen that only after the draft has matched a human note across more than one cycle, and keep a person on anything a customer will see.

What if the ad platform and the CRM disagree?

Keep both figures and name the one you will act on. An ad platform, analytics, and the CRM count different events under different rules, so one blended conversion is not a reconciliation. Put the gap in the data-status line instead of letting the model choose a winner. Turn on the commentary only after those two columns have matched a hand-built note for the same week.
