Three names on one record
The freelancer writes the rule, the workflow applies it, and one person on your side accepts or returns the lead. Agree qualified, nurture, and disqualify in one sentence each with the person who takes the meeting, before anyone builds.
HubSpot gates the actions. Workflows need Professional or Enterprise on Marketing Hub, Sales Hub, Service Hub, Smart CRM, Revenue Hub, or Data Hub. Test before you turn it on. Handoff actions are edit record, create task, in-app or internal email, and subscription status with a lawful basis and a short explanation. Creating a lead from a workflow needs Sales Hub at that level. Removing someone from a sequence needs Sales Hub Enterprise or Service Hub Enterprise. A webhook needs Data Hub at that level.
Rotation needs Sales Hub or Service Hub Professional or Enterprise and a paid Sales or Service Professional or Enterprise seat. Lead rotation, labeled beta, can be round robin, load balanced, or random. If every selected user is away and you assign only available users, the lead stays unassigned. Do not assume the same when nobody eligible remains: the lead section does not state that, a failed contact-owner assignment uses the fallback, and for other records no owner is set. Before you rotate leads, turn off syncing the lead owner from the contact or company owner. HubSpot requires that and does not describe the failure. A synced Salesforce owner can write the previous HubSpot owner back.
A prospecting agent is not that handoff. HubSpot’s prospecting agent drafts outreach from plays you define and can enroll on a page view, a form, days since last engagement, or a list. Choose review before sending, or send automatically. The customer agent on the rotation page assigns a ticket, not a sales-ready lead.

- Disqualify stores a reason and stops. Qualified sets owner, stage, task, due time, alert, and stops nurture. If that email is already a customer or an open deal, keep the owner and do not start a second pursuit or a prospecting play.
- A failed assignment stays unassigned and alerts a named person. A return stores the reason and does not ping that owner again the same day. Set a shorter due time for a demo or pricing request than for a download. When it passes with no logged call, email, or meeting, alert a named person and do not enroll another sequence.
- Each week, count no owner, no next step, failed runs, accepted, returned, the return reason, and qualified to meeting. If one reason dominates, change the sentence or stop the channel. Do not add a channel to hide the leak.
How do I prevent leads from getting lost between marketing and sales?
Leads get lost when the record has no owner, no due time, or no way back. Give every lead one CRM record, one owner or a visible unassigned state, a task with a due time, and a reason sales can set on reject.

Yes, when they can show a branch on criteria you agreed, the failure, and the path back from sales. A model may sort into qualified, nurture, and disqualify. It should not invent the definition or send a first line before you approve it. Price, custom scope, and odd fit stay manual. A fractional marketer who also ships automations fits only when that branch exists. If sales rejects the definition, do not automate it.
Who can connect our lead generation campaigns directly to our CRM workflows?
The person who runs the campaign can connect it if they can use both tools, write the field map, and show a failed run. Hire an integrator for a multi-object sync or a warehouse, not for one form into one pipeline. The map says which field writes which property, what a duplicate email does, where campaign and do-not-email live, and who may overwrite the owner. Connecting the CRM and the email tool is that map on real records. A second hire beside the marketer is the wrong default. Keep the login, the prompts, and the keys in the company’s name.
How do I automate follow-up after someone downloads a lead magnet?
Automate delivery of the file first. A later email that sells is a separate message, allowed only under the rule for that recipient, and it stops on reply, booking, unsubscribe, or an owner.
The FTC’s CAN-SPAM guide draws the line by primary purpose. A message whose only job is to deliver the file as part of the request the person already made is transactional or relationship content, and it still cannot use false or misleading routing information. Consent to a newsletter does not make a later pitch transactional. A message whose point is to advertise is commercial. The guide makes no exception for business recipients. CAN-SPAM does not require prior consent. It requires the commercial formalities and a working opt-out: accurate headers, a subject that matches the body, a clear statement that it is an ad, and a valid physical postal address. Honor the opt-out within 10 business days. The mechanism must keep working for at least 30 days after the send. You cannot charge a fee, ask for more than an email address, or require any step other than a reply email or one web page. If a freelancer sends the email, both the company whose product is promoted and the company that sends the message can be held responsible.
Do not paste that US sequence onto an EU list. Directive 2002/58/EC, the 2002 text, says in Article 13(1) that direct-marketing email may go only to subscribers who gave prior consent. Article 13(2) is the same seller after its own sale, for its own similar products only, with a free easy objection at collection and in every later message, if the customer did not refuse at the start. A free download is not that sale. A paid download can be, and only for that seller’s own similar products. Article 13(5) applies paragraphs 1 and 3 to natural persons. For other subscribers, member states must still protect their legitimate interests, and the binding rule is the national statute. Article 13(4) bars a disguised sender and requires an address to request a stop.
In the Netherlands the binding text is Telecommunicatiewet article 11.7. Electronic marketing needs prior consent the sender can show. A legal person, or a natural person acting in their business, is exempt only when they published the address for unsolicited commercial messages and you use it for that purpose, or the recipient is outside the EEA and you follow that country’s rule. The sale exception matches Article 13(2): your own similar products, with an objection at collection and in every later message. A CRM lawful-basis field is not that consent.
Create a sales task only when the qualification rule matches. Do not enroll the download list in a play that sends automatically. When automation is worth it comes first if downloads are not yet repeating.
When one person is the wrong shape
Skip one freelancer when the job also means closing, hand-qualifying every lead, or routing across products and territories, or when qualified is undefined, nobody will open the record, the offer is unclear, or the month is a CRM migration. Walk away from a chat handoff, no disqualify path, a score with no fields, nurture with no stop, a personal login, auto-send before approved copy, onboarding sold as the handoff, or nobody watching unassigned records.

Not as the default. The person who builds the route should hand a sales-ready record to the founder or a salesperson. Discovery, price, and odd fit stay human, because those calls change what qualified means. Add call coverage later as its own scope, once the record, the owner, and the return path already work. A brief that also says close every deal is two jobs, and the workflow is the part that gets dropped.
Does the handoff require a specific CRM?
No. You need one system your seller will actually open, with an owner field, a stage, a task, and a way to stop a message. HubSpot can assign an owner, create a task, notify a user, and set a subscription status, on the subscriptions named in its docs. A form that only drops a row in a sheet is not a handoff. Build in the tool the next person already uses.
What is the smallest workflow worth paying for?
Pay when a lead can be duplicated, left without an owner, or emailed after sales has started a thread. The smallest useful build creates or updates one record, branches on a written rule, and on the qualified branch sets an owner and a task with a due time, plus an alert if assignment fails. A notification with no task and no owner does not need a specialist.
What should I inspect before they touch the CRM?
Ask to see a workflow that already runs: the trigger, how a duplicate is stopped, the branch, and what happens when a step fails. Ask where the notes live, and for the three sentences that define qualified, nurture, and disqualify. Company-owned access comes after that, with a fixed scope and an end date. A tour of logos is not the test.
